SUMMARY OF INSTRUCTIONS FOR COMPLETING GRADUATION APPLICATION FOR UNDERGRADUATE STUDENTS
  • Complete Degree Application (sent to you in mail)
  • Fill out your Curriculum Guide Sheet in ink. (Click here for sample Curriculum Guidesheet) Obtain guide sheet from Major Department and obtain signature of Major Department Chairperson
  • Review your degree requirements with a Faculty advisor in your Major Department
  • Complete minor/collateral guide sheet if appropriate with signature of minor/collateral Department Chairperson
  • Account for all courses needed to complete graduation requirements
  • Pay the required graduation fee and attach your receipt to your application
  • Attach any Waivers/Substitutions
  • Provide proof of name if needed (See Diploma Name Information in this document)
  • Obtain all required signatures
  • Submit by the published deadline

UNDERGRADUATE GRADUATION DEADLINES FOR 2010 CANDIDATES

All undergraduate students who have completed 82 or more credits will be mailed a 2010 graduation application in late February or late July 2009. Please review the graduation filing procedures outlined in this online document. Contact the Office of the Registrar at 908-737-3290 for additional questions.

Applications received by the following early deadlines will be evaluated prior to the Add / Drop registration of your final semester. You will be notified ONLY if there are any problems. Please note that this “ Early Evaluation” will provide an opportunity to clear problems affecting your graduation date.

 

EARLY SUBMISSION DEADLINE FOR EVALUATION
APRIL 30, 2009 FOR JANUARY 2010
OCTOBER 01, 2009 FOR MAY AND AUGUST 2010

Applications received AFTER the above early submission dates will be accepted for the appropriate graduation dates, but will not have the privilege of “Early Evaluation.” These applications must be mailed or brought into the Office of the Registrar by the following dates:

SUBMISSION OF GRADES
Incomplete grades, all grade changes, repeat grade recalculations and transfer credits must be completed and posted to your record no later than two weeks after the graduation date. Example: for January 2010 degree candidates the deadline is February 3, 2010. For May degree candidates the deadline is May 27, 2010. For August degree candidates the deadline is September 3, 2010.

PLEASE NOTE: In order to participate in May 2010 graduation ceremony, all required coursework must be completed by the end of Summer II 2010.


INSTRUCTIONS FOR COMPLETING YOUR UNDERGRADUATE GRADUATION APPLICATION

Please pay attention to the following items in completing the graduation application. Use ink.

  1. Degree Graduation Application Cover Sheet (This will be mailed to you.)
    Special Note: Please print your name on the Graduation Application as it should appear on your diploma. (Names on the diploma should match the names in the University file. See Diploma Name Information in this document). After completing the upper portion, list courses in progress for current semester and projected courses for final semester.

  2. Obtain your Major Curriculum Guidesheet from your Major Department. Use your Kean University transcript as a guide. (Click here for sample Curriculum Guidesheet)

    1. Write in course titles for courses completed at Kean. Place a grade in grade column.
    2. Write in course titles for transferred courses. Place an X in grade column.
    3. Indicate courses in progress and projected courses with the following semester codes.

    5. Designate the ‘Writing Emphasis” course with the symbol “WE”.
    6. FINAL SUMMATION:
      You should have accounted for all courses needed to complete graduation requirements and the total number of required semester hours.

  3. If you want to declare a Second Major/Collateral/Minor, please obtain the proper forms from your Major, Minor or Collateral Department Chairperson.

  4. Review your application and the major curriculum guidesheet with your Faculty Advisor in your Major/Collateral/ Minor departments. The signature of the Department Chairperson or designee is required to indicate approval on each guidesheet. The chairperson’s signature is preliminary approval for graduation. Final review and approval of the graduation application is completed by the Office of the Registrar. Approval of the application is based upon the requirements contained in the Kean University undergraduate catalog. It is your responsibility to review the applicable provisions in the catalog to ensure that you meet all of the requirements for graduation.

  5. Pay your graduation fee at the Student Accounting Office.
  6.   RECEIPT FOR GRADUATION FEE, VALIDATED BY THE STUDENT ACCOUNTING OFFICE, MUST BE ATTACHED TO YOUR APPLICATION. APPLICATIONS WILL NOT BE ACCEPTED WITHOUT A RECEIPT. The Graduation Fee is $100.00

  7. Check carefully now to make sure you have fulfilled all your requirements to prevent disappointment later. You will be notified as soon as possible if there are any problems to be resolved. Notify this office of any changes that would alter your graduation date.

DIPLOMA NAME INFORMATION

PLEASE PRINT YOUR NAME ON THE ENCLOSED GRADUATION APPLICATION AS IT SHOULD APPEAR ON YOUR DIPLOMA.

NAMES ON DIPLOMA SHOULD MATCH THE NAMES IN THE UNIVERSITY FILE.

EXAMPLES:

If your middle or maiden name is not included in the university’s records, you must provide official documentation for proof of name, usually marriage license or birth certificate.


INSTRUCTIONS FOR RETURNING YOUR UNDERGRADUATE GRADUATION APPLICATION

Return completed application with the Graduation Fee receipt to the Office of the Registrar, first floor of the Administration Building. (DO NOT SEND GRADUATION APPLICATION TO THE STUDENT ACCOUNTING OFFICE)

A signed receipt will be given or mailed to you by the Office of the Registrar. RETAIN THIS RECEIPT! Your receipt is an acknowledgement that the Office of the Registrar received your application. If you mail your application and do not receive your receipt within one week, contact this office (908-737-3290).

NO APPLICATIONS WILL BE ACCEPTED AFTER THE FINAL SUBMISSION DEADLINE DATES. APPLICANTS WHO DO NOT ADHERE TO THE DEADLINE DATES WILL BE REQUIRED TO FILE FOR ANOTHER GRADUATION DATE.

APPLYING FOR REPEAT GRADE RECALCULATION

Undergraduate courses taken by undergraduate matriculated students are eligible under this policy effective with the Fall 1987 semester. Students who receive a grade of “A-”, “B+”, “B”, “B-”, “C+”, “C”, “D”, “F”, or “AF” in a course may repeat that course. The course number must be the same in the initial and repeated terms. This policy permits four repeated courses or 12 credits, whichever is greater, to be excluded from the Grade Point Average (GPA). A course may be repeated only for a higher grade and may not be recalculated more than once. Courses taken after graduation are not eligible under the repeat policy. A recalculation will not be permitted after the baccalaureate degree has been posted to the student’s record.

The grade in the repeated course, if higher, will be included in the GPA and the former grade will be designated as an “R” grade and excluded from the GPA. If the grade in the repeated course is the same or lower, both grades will remain in the GPA and the course will be counted only once in meeting degree requirements. All courses submitted for consideration under this policy must be Kean University courses.

The student must initiate a request for recalculation of a repeated grade by completing the Petition for Repeat Grade Recalculation at the Office of the Registrar or CAS One Stop. Once elected, this option may not be changed.

BACCALAUREATE DEGREE REQUIREMENTS

  1. Minimum cumulative grade-point average for graduation is 2.0, but some degree programs are higher.

  2. Semester hours required are noted on top of major curriculum guidesheet.

  3. A minimum of 32 degree credits, including one-half of the major requirements must be earned at Kean. (One half of the collateral and minor requirements must also be earned at Kean).

  4. A grade of “C” or better is mandatory in courses used to fulfill major/collateral/minor requirements. “D” must be repeated and will not earn duplicate credit.

  5. One half of free electives must be at the 3000/4000 level.

  6. Only free electives can be taken with the Pass/Fail option.

  7. Substitution for major courses must be approved in writing by the Department Chairperson and GE and free elective courses by the Assistant Dean.

  8. No more than 40 semester hours in a major field will count toward the total credits for graduation (except in the case of certain specifically approved academic programs).

  9. One Writing Emphasis (WE) course is required. This course must be an upper-division (3000-4000 level) course in your major program and be designated with “WE”.

  10. For “General Education course requirements see your university catalog”.

  11. HONORS DESIGNATIONS
    After the final semester, graduates who qualify will achieve honors designation upon completion of a minimum of 45 semester hours at Kean, excluding credits earned on a Pass/Fail basis or Satisfactory/Unsatisfactory basis. Also, any candidate with a grade of “Incomplete” cannot be considered eligible for honors until that grade has been changed. The honors designation will appear on both the diploma and the final transcript.

    G.P.A. 3.65-3.84 Magna Cum Laude
    G.P.A. 3.85-4.00 Summa Cum Laude

MAY AND AUGUST GRADUATES ONLY PLEASE NOTE: To participate in the Commencement Ceremony with honors and be eligible to receive a gold tassel, honors requirements must be met by the end of the first semester of Senior year (usually Fall Semester.)

  • Second Baccalaureate degree requirements: A minimum of 32 degree credits, including at least one-half the major requirements, must be earned at Kean University AFTER admission to a second baccalaureate degree program. Candidates may take no more than six credits toward the second degree as non-matriculated students. All coursework must be completed at Kean University.
