Addressing Your Mail
It is very important to correctly address your packages. The name on your mail must match the name on your Kean Student ID, residence hall, and room number to ensure accurate delivery and prevent misplacement.
- Avoid using nicknames when addressing your packages.
- If you have a preferred name, please inform our office so that we can coordinate with our partners in Materiel Services to update your name in our database(s) and ensure the packages reaches you without disruption.
- Resident students are responsible for completing the United States Postal Service (USPS) forms for forwarding mail.
Please follow the proper address format for your packages as indicated below:
Recipient's Name
Kean University
[Residence Hall Building] [Your Room Number]
1000 Morris Avenue
Union, NJ 07083
By adhering to this address format, you will help us ensure that your packages are delivered promptly and directed to the Whiteman Hall mailroom, or letter mail is directed to your designated residence hall. If you anticipate receiving mail from relatives or friends, you should share this information with them as well.
Mail that is incorrectly addressed will not be transferred to the residential mailroom until the recipient can be verified.
Package Pick Up
We have provided some guidelines below to receive your packages and ensure a smooth delivery process. Please report to the mailroom in Whiteman Hall for package pick-ups.
Package Pick Up Guidelines:
- Location: Whiteman Hall
- Days and Hours of Operation: Tuesday, Wednesday, Friday: 9 AM - 5 PM, Monday & Thursday: 9 AM - 8 PM
- Identification: You must present your Kean Student ID card when picking up your package to verify your identity and student status.
- Timely Pick-up: We kindly request that you collect your packages promptly upon receiving notification of its arrival to the Mailroom. This will help ensure a smooth and efficient process for all residents. Residents must pick up their packages before the end of the semester or notify Residence Life for alternate pick up arrangements. After the final day of each semester, any unclaimed packages will be donated. Residence Life will not forward packages to another address.
During the winter break and summer months, students must visit the Residence Life Main Office in Upperclassman Residence Hall, across from Keanu's Kitchen, to pick up packages from Monday to Friday during business hours, unless otherwise noted. Please note, the office is closed on Saturdays and Sundays, as well as on University-wide closures and national holidays.
There is no mail delivery to the University on Saturdays, Sundays, or holidays.
Students are not permitted to pick up packages at Materiel Services and must coordinate pick up through the residential mailroom.
Be mindful that although your package may arrive on campus, it may not be ready for pick up until the following business day.
Perishable Packages
Residents can receive perishable packages, like food or flowers, to campus. Because these items can spoil or decay if not picked up in a timely manner, residents will receive an initial email notifying them when the perishable package(s) has arrived on campus in addition to a secondary email that the item is ready for pick up.
Avoid scheduling delivery on the weekend whenever possible. Neither Materiel Services nor the Residential Mailroom are open and cannot sign for packages during this part of the week. Do not schedule delivery between Friday 4 PM and Monday 8 AM.
Residents should be mindful that refrigerator and freezer space is limited. Perishable packages, in particular, should be picked up from Whiteman Hall as soon as possible.
Letter Mail
All residential letter mail will be sent to your mailbox located in your residence hall. Residents must ensure their letter mail is addressed in the proper address format as noted below. Residents will be given a key to their appropriate mailbox, or visit their residence hall’s community center for assistance in obtaining their letter mail. Residents who misplace their mailbox key will face a key replacement fee. Letter mail will not be forwarded to another address. Upon the end of the semester, any letter mail in a resident’s mailbox will be discarded.
Please follow the proper address format for your letters as indicated below:

Tips
Do:
- Include your residence hall building and suite number in your address.
- Have your Student ID ready for picking up packages.
- Keep your package Tracking Number and the Delivery providers information handy until you have received or picked up your package.
- Contact the mailroom for status updates.
Avoid:
- Nicknames. If you have a preferred name, notify Residence Life so they may update it.
- Ordering prohibited items to campus. This includes battery-operated scooters and bicycles; cooking appliances like air fryers, toaster ovens, and rice cookers; additional furniture items. If we suspect your package contains a prohibited item, you may be contacted for further instruction.
- Ordering items that require a one-time password for delivery. This requirement can further complicate and delay delivery, or prevent your package from arriving on campus.
Common Issues
Several vendors, including Shein & Amazon, are delivering packages directly to the residence halls or other buildings around campus. This is not proper delivery protocol and can lead to packages being misplaced, and difficult to track their whereabouts. Know that University staff has been working diligently with Amazon, SpeedX and others to rectify this issue. However, it may not always be possible to avoid due to the frequency of new delivery drivers.
We have instructed Residence Life staff to take any packages found at the residence halls to the Whiteman Hall Mailroom or the Residence Life Main Office in Upperclassman Hall. Doing so allows us to ensure your packages are accounted for and always available at the same location.
If your tracking information indicates that your package was delivered, please remember the following:
- Allow 1-2 business days for it to be transferred to the mailroom.
- If the vendor has left a picture indicating its delivery at the residence halls or elsewhere on campus, check with reslifemail to see if it was transferred to the mailroom. Provide as much detail as possible, including the tracking number, vendor, photos, emails, and additional documentation.
- Email the Mailroom at reslifemail@kean.edu for a status update. If your package has arrived on campus and been scanned at Materiel Services, we will be able to verify its arrival and provide you with peace of mind, and an expected time for pick up at Whiteman Hall.
- If you are still unable to find the package after 2-3 business days, contact the vendor and inform them your package was not delivered properly and request a refund.
Frequently Asked Questions
Are residents able to send outgoing mail (packages and letters)? If so, what is the process?
Proper postage and packaging is required and it is the responsibility of the student. We do not provide packaging, stamps, or etc. We recommend students send outgoing packages through the post office, FedEx, UPS, or other independent providers.
Can I delegate someone to pick up my package?
If you are unable to personally pick up your package, you can authorize a fellow Kean student to collect it on your behalf. First, you will need to email reslifemail@kean.edu the full name of the individual picking up the mailed items or package AND the Tracking Number(s). The person picking up the mailed items must be a fellow Kean student, and they must bring their Kean student ID with them.
I’m going to pick up a package in the Whiteman Hall mailroom but misplaced or left my Kean student ID elsewhere. Can I still pick up my package?
No, residents must have their Kean student ID with them at all times. We will not accept a state ID, passport, or any other form of identification.
I received a notification from the shipping company that my package had arrived but the package isn’t in the Whiteman Hall mailroom. Why?
All mail is first delivered to the University’s Materiel Services to be processed and sorted. Students are not to visit Materiel Services. After Materiel Services processes your mail, they will transfer it to Residence Life. Residents will receive an email from reslifemail@kean.edu or reslife@kean.edu about their package being ready for pick up at Whiteman Hall. An email will not be sent for any letter mail placed in a resident’s mailbox.
I have a package to pick up but the mailroom is closed. What should I do?
Please visit the main Residence Life office in New Upper Residence Hall, during our normal business hours for assistance.
I’ve lost my mailbox key, what should I do?
Residents must submit a work order to have their key replaced. To submit a work order, click here. Until the replacement key is made, residents may visit their hall’s community center for assistance to obtain their letter mail.
